How long does it take to set up?
About twenty minutes to add your FDs, rates and drivers. If you'd rather not, we'll set your depot up with you on a call.
Which delivery companies does it work with?
DPD is fully supported today, including importing the stop files from the DPD portal. For Amazon, Evri, Yodel, DHL, UPS and other networks, the rota, extras, deductions, day rates and pay sheet all work now. You type or paste the stops while we build the import for your network.
Does it log in to my carrier's portal for me?
No. You export the stop data from the portal as you do now and drop the files into Depot Desk. It never asks for your portal login.
Do I have to stop using my spreadsheet?
No. Run both side by side for your first pay period and compare. Most owners stop once they've seen the numbers match.
Is this made by DPD, Amazon or another carrier?
No. Depot Desk is independent software, built by Amaan Bhana for his family's DPD franchise and now for anyone who runs a delivery depot. It isn't affiliated with or endorsed by any carrier.
Rota and pay
What if a driver used someone else's login?
The rota decides who gets paid, not the login. If the portal shows the owner's login on a route, the stops still go to the driver you put on the rota, and any day still under a stand-in is flagged red until it's fixed.
Can it handle day rates and small vans?
Yes. Set a day rate and every day under it is topped up. Small-van routes can have their own lower day rate, and a driver on two FDs in one day has them added together first.
Can I keep my pay sheet layout?
Yes. The download is an Excel file with one row per driver per FD per day, the same columns a hand-made sheet uses, so your accountant sees what they're used to.
How accurate is it?
Tested against a real depot's hand-made pay sheet, 212 of 219 driver-days matched to the penny. The other seven were one-off decisions the owner made on the day, and there's now a switch to record those.
Can my office staff use it without seeing everything?
Yes. Admins run the rota and log extras and deductions. Managers approve them, change rates and see what each FD made.
Drivers
What can drivers see?
The rota (names, routes and vans), their own pay with every extra and approved deduction, and messages from the office. Never anyone else's pay, your rates or what an FD made.
Can drivers change anything?
No. They can tap out and back, write notes and send messages. Only the office changes the rota and pay.
Do drivers need to download an app?
No app store. They open a link, sign in with the username and PIN you give them, and add it to their home screen. It works on iPhone and Android.
What happens when a driver leaves?
Remove their login, or mark them as left, and they're signed out straight away. Their past days stay in your records.
Pricing and billing
What does it cost?
£39 a month for up to 5 routes, £79 a month for up to 12 routes with the driver app, or £6 a route a month for bigger fleets. Pay yearly and you get two months free. There's no VAT to add. See pricing.
Do I need a card for the free trial?
Yes, a card or Direct Debit, but nothing is taken for 5 weeks: long enough to run a full pay period next to your spreadsheet. The app reminds you a week before the first payment, and you can cancel from Plan & billing in two clicks. Cancel before the trial ends and you pay nothing. Want to look around first? What happens when the free trial ends?
The plan you chose starts and nothing changes. If you cancelled during the trial, nothing is taken and your depot becomes view-only: nothing is deleted, and you can still open every pay sheet and download a full backup.
Can I cancel?
Yes, any time, from Plan & billing. You keep using it until the end of the period you've paid for. There's no contract and no cancellation fee.
Can you do the data entry for us?
Yes, with Done for you. We enter the rota and extras, import the DPD files and prepare the pay sheet. You approve it before anyone is paid. Ask for a place.
Your data
Where is my data kept?
In a UK data centre in London. Every depot is walled off from every other one.
Who can get into my depot?
A depot password opens it on a device. Then each person signs in with their own PIN, and every change is logged with their name. Drivers have their own separate logins and see only their own pay.
Can I take my data with me?
Yes. Download a full backup whenever you like. It's your data, in a file you keep. Read our privacy policy.
