Who we are
Depot Desk is run by Veracent Intelligence Ltd, a company registered in England and Wales (company number 17475323), registered office 80 Scraptoft Lane, Leicester, LE5 1HW ("we", "us"). These terms are between us and the business that signs up for Depot Desk ("you"). Depot Desk is for businesses, not consumers. Contact us at info@veracentintelligence.co.uk.
What Depot Desk does
Depot Desk helps you plan a delivery rota, record extras and deductions, and work out what to pay your drivers. It also gives your drivers an app to see the rota and their own pay, if your plan includes it.
You are responsible for checking pay before you pay anyone. Depot Desk works pay out from the rota, stops, rates and rules you enter. Check the pay sheet before you pay drivers, and tell us straight away if anything looks wrong.
Free trial
Before choosing a plan, a new depot can try Depot Desk with up to 2 routes and some features locked, with no card needed.
The 5-week free trial starts when you choose a plan and add a card or Direct Debit. Nothing is taken during the trial. When it ends, the plan you chose is charged automatically unless you cancelled before the end date shown in Plan & billing. Each depot gets one free trial.
If you cancel, or a plan ends, your depot becomes view-only. Nothing is deleted, and you can still download your pay sheets and a full backup.
Plans and payment
- Plans are paid monthly or yearly in advance, by card or Direct Debit, through our payment provider Stripe.
- Prices are shown on our website. We are not VAT registered, so no VAT is added. If that changes, we'll tell you before it affects what you pay.
- The Fleet plan is charged per route, for at least 20 routes. If you run more routes than you pay for, we'll ask you to update your plan.
- Founding prices stay the same for as long as your subscription continues without a break.
- We may change our standard prices. We'll give you at least 30 days' notice, and the change applies from your next renewal.
- You can change plan or cancel at any time in Plan & billing. Moving up is charged for the days left in the period; moving down leaves a credit on your next bill.
- If a payment fails, we'll try again and let you know. If it still can't be collected, your depot may become view-only until it's paid.
Cancelling
You can cancel any time from Plan & billing. During the free trial nothing is taken. Your plan carries on until the end of the period you've paid for, then your depot becomes view-only. We don't refund part-used periods, except where the law says we must.
Done for you
If you buy Done for you, we enter the rota and extras and prepare the pay sheet using the information you and your drivers give us. You approve the pay sheet before anyone is paid, and you remain responsible for what you pay.
Your data
Your depot's data belongs to you. You can download it at any time. When you add your drivers' details, you are responsible for having the right to do so and for telling your drivers how their information is used. We handle that information only to run Depot Desk for you, as explained in our privacy policy. If you close your account, we delete your depot's data within 90 days unless you ask us to keep it for longer, or the law requires us to.
Using Depot Desk properly
Keep your passwords and PINs private, give access only to people who work for you, and don't misuse the service or try to get into anyone else's data. We can suspend access that puts the service or other customers at risk.
Availability
We work to keep Depot Desk running and your data safe, but we can't promise it will never be unavailable. Planned maintenance will be done out of working hours where we can.
Liability
Nothing in these terms limits liability that can't be limited by law. Otherwise, we are not liable for lost profits or indirect losses, and our total liability in any 12 months is limited to what you paid us in those 12 months.
Changes and law
We may update these terms. We'll tell you about important changes in advance. These terms are governed by the law of England and Wales.
